COMMITTEES AND THEIR FUNCTIONS
Note: Although this section describes the committees at the Province level, many of the committees mentioned may be activated at the Chapter level to help fulfill the goals and objectives of the Grand Chapter, the Southern Province and the local Chapter.

ACHIEVEMENT AND AWARDS
Provide Chapters with information and applications for all Province and Grand Chapter awards prior to the Province Council Meeting. Establish a process for reviewing applications. Review applications and make recommendations for award recipients based on the established selection criteria.
Establish a fair and efficient balloting process that ensures accurate accounting and reporting of the elections. Ensure that all Chapters are notified of the procedures that will govern the balloting process.
Solicit, evaluate, monitor and recommend changes to the Fraternity Constitution and Statutes and the Province Bylaws for the improvement of the operations and conduct of the Fraternity.
C. RODGER WILSON LEADERSHIP TRAINING CONFERENCE
Develop guidelines for a participatory agenda for the C. Rodger Wilson Leadership Training Conference that will spotlight and develop leadership in personal, college, Fraternity and community interest; improve the operating efficiency and effectiveness of the Province Chapters; facilitate increased uniformity of interpretation and implementation of Fraternity law, tradition and song; and improve relationships between Alumni and Undergraduate members, and the respective college administrations. Establish specific agenda items for Undergraduate Chapter Advisors.
Evaluate the effectiveness of the planning and execution of the C. Rodger Wilson Leadership Training Conference, the Polemarch’s Workshop and the Province Council Meeting and provide a written report to the Province following each meeting.
GUIDE RIGHT AND STUDENT OF THE YEAR PAGEANT
Encourage Guide Right programs throughout the Province. Maintain a list of Guide Right programs from each Chapter within the Province. Provide the criteria, deadlines and other information to all Chapters regarding the Province and Grand Chapter Student of the Year Pageants prior to the Province Council Meeting. Coordinate the Province Student of the Year Pageant application process, selection process and program. Aid the Province winner and supporting Chapter with the application to the Grand Chapter Pageant.
Develop information and motivational programs that will encourage individual and Chapter participation in the Kappa Alpha Psi Foundation.
Develop information and motivational programs that will encourage individual enrollment and membership in the Kappa Alpha Psi Life Membership Program.
Provide for an efficient and timely nomination process that adheres to the bylaws of the Province and the Constitution and Statutes of the Fraternity, that will govern the elections of officers. Ensure that all Chapters are notified of the procedures and deadlines for all nominations.
Provide recommendations for fundraising activities that will benefit the Province and/or local Chapters.
Develop and maintain a program to assist Chapters in identifying and contacting inactive members with the purpose of convincing them to become active and work towards the “Achievement goals of the Fraternity. Develop recommendations for Undergraduate members transition to Alumni chapters.
Solicit, review and recommend resolutions and recommendations offered to the Province and the Fraternity for consideration and approval prior to submission at the Province Council Meeting for consideration.
Establish Province and Chapter program guidelines that address Chapter and community issues of economic, social, political, medical, legal concerns, etc. Suggest meaningful community projects that the Province should be involved in that will have a positive impact on the community. Encourage participation in the political process (i.e. letter writing campaigns, voter registration drives, etc.)
STUDENT REVOLVING LOAN FUND
Develop information and motivational programs that will encourage individual and Chapter participation in the Kappa Alpha Psi Student Revolving Loan Fund.
TIME AND PLACE
Accept and review the offers from Province Chapters and recommend the time and place for future Province Council Meetings, C. Rodger Wilson Leadership Conferences and Polemarchs’ Workshops.
Facilitate the solution to problems and share successes of common concern specific to Undergraduate Chapters.
LONG RANGE PLANNING
Imagine, dream, speculate and theorize about possible programs, initiatives and procedures which might enhance and/or improve the Province and its Chapters. Provide measurable goals, objectives and timetables by which the Province may plan its future.
AUTOMATION and TECHNOLOGY
Develop and maintain a comprehensive computerized information base that will advance all aspects of the Provincial administration process and provide networking capabilities with the International Headquarters and other Provincial information sources.
PROVINCE COUNCIL PLANNING
Coordinate all activities involved in planning the Province Council Meeting. Facilitate negotiations with the local facility management. Interface with the host Chapter in coordinating plans and activities. Provide a budget for the Province Council Meeting using the Province Council Planning Guide as a reference.
This committee will receive reports throughout the fraternity year from chapters concerning deceased brothers in their chapter. A Memorial Service will be held during the Province Council Meeting.
This committee will coordinate all Cluster Intake and Orientation programs in the Spring and Fall. Alumni chapters given permission to have Intake will have to follow the program as outlined by the information in the Organizational handbook.
This communication will be distributed three times during the fraternity year. Chapters are encouraged to send information during the year to the chairman to meet deadlines established.
